FTI Technology Delivers Legal Hold Overhaul for Professional Services Firm

When a large, global professional services firm sought to migrate from a heavily customized legacy platform to a new legal hold system, the legal team engaged FTI Technology’s experts to manage end-toend selection, migration, implementation and change management. The firm also wanted to improve its existing legal hold operations by establishing new workflows and supporting review and remediation of the data.
Situation
The firm’s legacy legal hold technology was more than a decade old, no longer fit for purpose and required significant resources to maintain. However, the legal team needed support with every aspect of moving to a new tool. After working with FTI Technology’s experts to conduct an extensive vendor risk assessment and evaluation for potential technologies, the firm selected a new legal hold provider and began the process of migrating to a new system.
However, the firm soon ran into implementation challenges with its selected technology provider. In addition, the firm’s team did not understand the scope of customizations and the challenges of transitioning their processes and data from the old system to the new one. After several attempts, the provider proved unable to adequately complete the project, causing the client to seek implementation support from FTI Technology.
Our Role
Over the course of a multi-phased project, the FTI Technology team provided the following:- Proof of concept and vendor risk assessment to support selection of a new system.
- Business and technical requirements to aid the client with selecting a new technology platform.
- Use cases, data maps, validation criterion and testing requirements that would replace the previous solution’s bespoke and non-standard configurations.
- Workshops with key stakeholders to streamline existing processes and migrate business as usual processes to the new platform.
- Development and execution of a plan to transition the organization to the newly procured legal hold software.
- New system onboarding, risk mitigation and issue support related to implementation within the established timeframes.
Following multiple instances of delivery failures by the technology provider, the FTI Technology team oversaw and enabled all steps of implementation for the new system, including testing and user training.
